Summit Academy Coronavirus (COVID-19) Distance Learning Contingency Plan

Introduction – Phase 1 (prior to campus closures):

We are in this together!

Rebecca Elias, and management staff are actively monitoring the spread of the COVID-19 and are keeping abreast of recommendations from health authorities. As a precautionary measure, Summit Academy is crafting a contingency plan of how to proceed in the event that closing the campus becomes either advisable or necessary. Internationally, countries such as France, Italy, Pakistan, Japan, China, and Iran have closed their schools in an effort to better contain the spread of COVID-19, however, New Zealand is NOT at this point right now.


Nonetheless, given the uncertain atmosphere, TSA school leadership believes that creating a contingency plan for a campus closing is an important proactive measure and are creating plans for staff to conduct virtual classes, using Google Meet and other online resources (see subsequent sections for more details). Please reach out to Tanya or Kayleigh if you have any questions or concerns. Coronavirus Exposure and Diagnosis:

As per the recommendation of the MoE, all students and staff members are reminded to stay home and seek appropriate medical attention if they are ill. For a list of symptoms, please visitIf a student, staff member, or a member of their household is diagnosed with the Coronavirus, please notify Anna, Tanya and Kayleigh so that the appropriate arrangements can be made. 


Communication of Campus Closing:

In the event of a closing, notifications, including updates and information about the duration of the closing, would be sent via Flexibuzz, Linc-Ed and email. Also, a link to updates would be available on the Summit Academy homepage. 


Phase 1 (prior to any campus closures):

Our priority is your child’s social and emotional well-being. We will achieve this through:

  • Structure
  • Routine
  • Continued relationships
  • Realistic expectations



In line with internationally recognised schools for students with diverse learning profiles, TSA is adopting a similar approach to contingency planning. This would make any transition to distance learning less problematic. 


Phase 1 (where we are now) is where we: 

  • Pause our usual learning approach at certain times of the day currently
  • Plan for delivering lessons in a distance mode by selecting appropriate technology apps and schedules 
  • Practise using these learning modes regularly in class with students over the coming days, whilst they are still on campus. 


Please know that, should the school campus have to close, we would be moving our students from independent work (where they are operating on their own at home) to engaged, real-time, online learning and this is a new process for ALL schools. The first day (should a closure happen) would be like the first day of the school year all over again! We would need to set rules, behaviours, get to know each other in a new environment (families included), iron-out technical issues (and there would be some!), so families would be more involved in the first few days than later days, as students get used to the new mode of learning.


If a campus closing occurs, we would continue to rely on our families to help our students to access the education they deserve. TSA recognises that virtual learning is not a substitute for the in-person, multisensory instruction our students receive on a typical school day at TSA. Nevertheless, virtual learning would provide students with the opportunity to continue their studies, should the campus close. Summit Academy is dedicated to supporting students’ access to education, and we recognise that new initiatives bring the need for creativity, patience, and good humour.




Classes and Schedules (if campuses close):

In the event of a campus closing, school would remain in session, using daily class schedules, with real-time meetings at designated times during the day, using Google Meet, an application that can be accessed from the students’ devices. These schedules would be designed to best meet the appropriate age and level of the students. These schedules would be communicated by Flexibuzz, Linc-Ed and direct email. Please be aware that we would do our best to keep consistent routines, should Distance Learning be necessary, however, schedules could change to accommodate the different learning areas students would be engaging with, such as core subjects (Maths, Literacy, Social Sciences etc) and options subjects (experiential, thematic, etc.)



Staff would take attendance during every morning and afternoon on Linc-Ed. Google Meet also tracks attendance, so if your student did not show up for a meeting, TSA would notify you. 


Class Requirements and Expectations


In the event of a campus closing, classes would be held according to their daily schedule, as supplied by TSA management, and holding real-time meetings for part of a block, using Google Meet. The students would then complete independent work, using Google Classroom, other online sites and apps, and resources from the take-home bags that were prepared by staff. These bags should be kept in a safe place at home. School would run from 9.00 – 3.15, as reflected in the example schedule below. TSA management would send out more detailed copies of their specific schedules, once closures were confirmed. To the extent possible, the class schedules would reflect the students’ regular TSA school day.

Resources Needed: Chromebook or device; charger; Internet; bag with take-home binders prepared by classroom teacher and other supplies; headphones with microphone


Expectations for Learning:

  1. Chromebooks/devices would be used at home with each student in order to access Google Meet and enable distance learning. Staff are training students on how to use Google Meet this week. 
  2. We would ask that Chromebooks/devices are turned off by 3.15pm each day. We would also ask that you do not give your child access to their Chromebook/devices during the weekends, as they are for school-related educational purposes only. 
  3. Please make sure your child is dressed in school-appropriate clothes for their virtual classes. 
  4. Students should use their Chromebooks/devices in a location where they can focus. Please also make sure that your student does not have food or drinks around their Chromebook/device; this will help us minimise potential spills and damage. 
  5. Please continue to ensure that your student gets plenty of rest and goes to  bed on time! While students will not be physically present at TSA, it is important for them to be rested and focused so that they are ready to engage virtually!


Using Google Meet:

A Google Slides presentation will be sent to all families via email, outlining how to connect with Google Meet for class meetings and teachign sessions.  At the time a class is scheduled to start, the students need to be on their registered gmail email account, waiting on an email from TSA staff inviting them to a Google Meet.  The subject line will say, for example, “Happening now: Tanya Thorogood is inviting you to a video meeting.” The students should then open the email, and click on “JOIN MEETING”.  That will then take them to Google Meet. They then click on “JOIN MEETING” again. They will then be joined with their class.
